What happens next?

Keep an eye out for an email from our bookings person (Rob - Bookings Secretary) in response to your application.

We hope to offer everyone who applies a place. When we have more applications than space, places are first offered to those in our catchment area (basically the south east) and then on a first come first serve basis.

Once you are offered a place and have accepted it we will send you information on payment, final event details, travel information and a medical update form.

Senior Conference 2024 is an event underpinned by the Quaker values of inclusivity and acceptance and, as such, we endeavour to accommodate a range of needs, both emotional and physical. We would ask that you disclose any information that you think we should know that will help us meet the participant's needs at the event. That could include information about additional emotional or learning needs or context about homelife that you think it would be beneficial for us to know.

All information provided here will be confidential. We would not normally discuss any information given, with the participant. This information will be used to help us to be sensitive to any additional needs the participant may have and we would ask you to share information honestly. Whilst our volunteers are trained annually in safeguarding principles and are equipped to deal with young people at an event such as Senior Conference 2024, if there is information that we have not been made aware prior to the event then this may result in us being unable to fully accommodate a participant at the event. In more serious instances could result in us asking a parent/guardian to collect the participant from the event.

Unless in exceptional circumstances we expect participants to be present for the whole event. Some participants may be receiving GCSE results at the event, where there is lots of support provided including a dedicated space, and other activities will be optional. Please contact us if you might need to leave the site during the event for any reason. If for any reason you choose to leave the event outside the scheduled start and end time, you will need to arrange your own transport.

Fees and Bursaries

Fees for Senior Conference 2024 are £440 per person. Some Local and Area Quaker Meetings support their young people to attend, so if the cost is difficult to afford, do speak to your Local/Area Meeting in the first instance – some Meetings support their young people with half the cost as a matter of course.

However it is our policy that no-one should be excluded through inability to pay the fee. We receive grants and gifts that enable us to support participation with a bursary, though the total sum available is limited. Ask Rob - Bookings Secretary about bursary assistance.

Fee payments
In advance of Junior Gathering and Senior Conference, FSSE is required to inform the venue for our events of the total numbers attending and is charged accordingly. Given that the total number that can be accommodated is also limited, the following requirements apply for payment of participant fees:
- To reserve a place, a non-refundable deposit of £50 must be paid upon receipt of your booking acknowledgment from Rob - Bookings Secretary.
- The balance of the full fee of £440 must be received by Monday 29th July 2024.

Cancellations
In the case of a participant withdrawing in advance from Junior Gathering or Senior Conference or being unable to take up their place, the following applies:
- The deposit is non-refundable.
- If you have paid the full fee prior to cancellation, you will receive a refund of the balance if you cancel on or before Monday 29th July 2024.
- If you cancel after Monday 29th July 2024, the balance cannot be refunded other than in exceptional circumstances.

Donations
Donations in excess of the fees, from Friends and Meetings who are able to make them, are extremely welcome as they enable bursaries to be made. If you are able to make a donation to enable other young Quakers to attend FSSE events, please see the Donate page of our website.

If there is sufficient demand we are considering organising a coach to leave from Friends House (Euston Road, London) to our venue, this would be an extra cost in the region of £25.
